The math on every order

Each order records the full breakdown permanently: the subtotal, the platform fee, and your net — computed at sale time from your account's fee rate, so a later fee change never rewrites history. Refunds are tracked on the same order, and a refund reverses the corresponding credit in your ledger.

Your ledger

Every financial event — sale, refund, adjustment — is a signed entry in your seller ledger. Your balance is simply the sum, per currency, which means it's fully explainable: any balance can be decomposed into the exact entries that produced it.

Pending, available, and paid are different states

Your seller ledger distinguishes funds that are still pending from funds eligible for a payout request. This is accounting state, not a promise that money will reach a bank on a fixed BuildWithHQ schedule. Once an eligible transfer is submitted through the connected account, Stripe Connect controls processing and bank-delivery timing. Review the current estimate and any account requirements in Stripe.

Requesting a payout

With an Active profile, payouts enabled, and a connected Stripe account, request any amount up to your available balance in a currency. The platform verifies the balance at the moment of the request — concurrent requests cannot double-spend it — and submits the transfer through Stripe Connect. BuildWithHQ records request and provider status; Stripe determines the processing and bank-arrival timeline.

If a payout is refusedIt means
“Payouts are not enabled”Stripe onboarding isn't complete — finish it in your seller settings.
“Exceeds the available balance”Part of your ledger balance is not currently eligible. Check pending versus available before requesting another transfer.
“Payout permission denied”Your team role lacks the payout permission — an owner can grant it.
