Coordinate work in ActiveWorkplace

Pin a record, follow its connected work, coordinate participants, and review its history.

ActiveWorkplace is a shared coordination view around a record and the related records connected to it. It does not replace the customer, case, file, project, conversation, or other item you started from.

Pin a Record

  1. Open ActiveWorkplace and search the visible Record list.
  2. Select the Record you want to coordinate.
  3. Choose Pin to ActiveWorkplace.

If an active workplace already exists for that root, the app opens the existing one instead of creating a duplicate. Search results include only Records currently available to you.

Read the workplace

  • Record Pulse shows whether work is Active, Waiting, At Risk, Stale, Dormant, or Resolved.
  • Tracking graph groups the pinned Record and currently visible connected Records by depth.
  • Participants shows people, GoClaw assistants, and workflows plus their stated responsibility.
  • Activity shows meaningful updates and system transitions with attribution and time.
  • Inbox attention calls attention to work that became At Risk or Stale.

Update Pulse and activity

Use Waiting when work is blocked by a date, reply, or dependency, and add a useful reason. Post an update when meaningful progress occurs. Use Dormant for intentionally inactive work and Resolved when coordination is complete. Your app may limit these controls according to your current permission.

Add participants

Select an eligible User, GoClaw, or Workflow and describe what it is responsible for. Assignment does not grant new access: participants can still see or act only within their own existing permission and approval rules.

Note

A GoClaw may monitor and prepare work, but a material or customer-facing action still follows the app's normal action permission and approval policy.

Use Graph Playback

Choose a retained date/time and select Play back. A prominent Graph Playback · read only banner appears. The page reconstructs retained workplace, graph, participant, and activity state, but still uses what you are allowed to access today.

Choose Return to current to leave historical mode. You cannot change Pulse, post an update, add/remove participants, refresh the graph, launch a workflow, or run a GoClaw action while playback is open.

Important

Playback is historical context, not a way to restore old access. A Record removed from your current DataRole or location scope stays unavailable even if you could see it at the historical time.

If something is missing

A graph branch, participant, or event may be absent because the current relationship scope is bounded, the Record was removed, or your current DataRole/location no longer includes it. Ask your app administrator about access; do not create a duplicate Record to make it appear.
